Privacy Policy
Last Updated: [DATE OF PUBLICATION]
DRAFT NOTICE: This document is a draft prepared for 518 Golf Hub. It has not been reviewed by an attorney. Have a lawyer licensed in New York review this before it is published live, especially the sections on data sharing, children's privacy, and state privacy rights. The legal entity name below is a placeholder — update it once a business entity is formed (see "Who We Are").
1. Introduction and Scope
This Privacy Policy explains how 518 Golf Hub ("518 Golf Hub," "we," "us," or "our") collects, uses, shares, and protects information when you use:
- Our website at 518golfhub.com and beta.518golfhub.com (the "Website")
- Our mobile application(s) for iOS and Android, once available through the Apple App Store and/or Google Play (the "App")
- Any related services, features, or communications (together with the Website and App, the "Service")
By using the Service, you agree to the collection and use of information as described in this Privacy Policy. If you do not agree, please do not use the Service.
This policy covers all current features of the Service (course directories, deals, alerts, member profiles, the passport/check-in system, the activity feed, partner finder, marketplace, leagues, events, instructor listings, community posts, messaging, and course manager tools) and is written to remain accurate as new features are added. If a new feature collects a materially different type of information than described here, we will update this policy and, where required by law, notify you before that feature collects your data.
2. Who We Are
The Service is operated by 518 Golf Hub (legal entity name to be finalized — update this policy once a business entity, e.g. an LLC, is formed and before the Service is publicly launched).
Mailing address: 94 Esplanade Street, Selkirk, NY 12158 Contact email: Contact@518golfhub.com
3. Age Requirement
The Service is intended for users 18 years of age and older. We do not knowingly collect personal information from anyone under 18. If we learn that we have collected personal information from a user under 18, we will delete that account and associated data. If you believe a user under 18 has provided us information, contact us at the email above.
4. Information We Collect
4.1 Information you provide directly
| Category | Examples |
|---|---|
| Account information | Name, email address, password (if not using magic link / OAuth), profile photo, bio, home course |
| Golf activity | Course check-ins, condition reports, passport stamps, star ratings and reviews you write |
| User content | Community posts, marketplace listings and descriptions, photos you upload, messages you send to other members |
| Course manager information (if you register as a course manager) | Business name, role at the course, pricing and hours you enter, deals and alerts you post, photos you upload for the course |
| Payment information | Not collected today — course manager features are currently free, and no paid features exist yet. If we introduce paid course manager subscriptions or promoted deal fees, billing details will be collected and processed directly by a third-party payment processor (such as Stripe); we will not store your full card number on our servers, and we will update this policy before that happens. |
| Communications with us | Support requests, feedback, survey responses |
4.2 Information collected automatically
| Category | Examples |
|---|---|
| Device and usage data | Device type, operating system, app version, IP address, pages/screens viewed, features used, crash reports |
| Push notification data | Not collected today — push notifications are planned for a future release, not yet available. When enabled, this will collect a device token (via Expo) used to deliver alerts and updates you've opted into, and we will update this policy first. |
| Analytics | Anonymous website traffic (pages viewed, referring site, device/browser type), collected via Plausible, a privacy-focused analytics tool. Plausible does not use cookies and does not collect personal identifiers — see Section 10. |
| Error/diagnostic data | Technical error reports collected via Sentry to help us fix bugs |
4.3 Location information
The Service is not a GPS or location-tracking tool. You select your course manually rather than us detecting it via device location. We do not currently collect precise (GPS-level) location data. If a future feature (for example, "courses near me") requests approximate location, it will be opt-in, clearly disclosed at the time, and this policy will be updated before that feature is enabled.
4.4 Information from other users
If another member mentions you, plays a round with you (a "handshake"), or messages you, we process that information as part of operating the Service.
5. How We Use Information
We use the information above to:
- Create and maintain your account and profile
- Operate core features: the passport/check-in system, activity feed, partner finder, marketplace, messaging, leagues, events, and course manager tools
- Deliver deals, alerts, and notifications from courses you follow
- Send you service-related emails (account, security, transactional) and, if you opt in, marketing emails
- Monitor, secure, and improve the Service, including diagnosing technical issues (via Sentry) and understanding anonymous site traffic (via Plausible)
- Enforce our Terms of Service, investigate misuse, and comply with legal obligations
- Communicate with you about updates, changes, or support requests
We do not use your information to make automated decisions that have a legal or similarly significant effect on you.
6. How We Share Information
We do not sell your personal information. We share information only as follows:
- Other members, in line with the Service's design: your public profile, passport, reviews, and posts are visible to other members (and, for public pages like course listings and reviews, to visitors without an account). Direct messages are visible only to the sender and recipient.
- Course managers, who see aggregated follower counts and engagement analytics for their course, but not your individual private account details beyond what you've made public (e.g., a public review or check-in).
- Service providers who process data on our behalf under contract, including:
- Supabase — database, authentication, and file storage
- Netlify — website hosting and backend functions
- Brevo — transactional and marketing email delivery
- Expo — mobile app infrastructure (and, once push notifications are available, push delivery)
- Sentry — error and crash monitoring
- Plausible — privacy-focused, cookie-free website analytics
- If we introduce paid features, we will add a payment processor (such as Stripe) to this list and update this policy before any payment data is collected or shared.
- Legal and safety reasons — if required by law, subpoena, or legal process, or to protect the rights, property, or safety of 518 Golf Hub, our users, or the public.
- Business transfers — if 518 Golf Hub is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction; we will notify you of any such change.
7. Data Retention
We retain your information for as long as your account is active or as needed to provide the Service. If you delete your account, we delete or anonymize your personal information within a reasonable period, except where we are required to retain it for legal, tax, security, or fraud-prevention purposes (for example, financial records if paid features are introduced in the future).
8. Your Rights and Choices
- Access and correction — You can view and update most of your profile information directly in your account settings.
- Data export — You can request a copy of your data in a portable format from your account settings or by emailing us.
- Account deletion — You can permanently delete your account from your account settings. This removes your profile, content tied to your account, and personal information, subject to the retention exceptions in Section 7.
- Marketing communications — You can opt out of marketing emails using the unsubscribe link in any such email. You will still receive essential transactional emails (e.g., account security, receipts).
- Push notifications — Not yet available (see Section 4.2). You can already choose which courses you follow from your account settings; once push notifications launch, you'll also be able to turn them on or off from your device or app settings.
- State privacy rights (e.g., California, Virginia, Colorado) — Depending on where you live, you may have additional rights, such as the right to know what personal information we hold, request deletion, or opt out of the "sale" or "sharing" of personal information. We do not sell personal information. To exercise any of these rights, contact us at the email in Section 2.
9. Security
We use industry-standard safeguards to protect your information, including database-level access controls (row-level security) on our Supabase database, encrypted storage of authentication tokens on mobile (via secure device storage, never plain app storage), and restricting sensitive service credentials to server-side functions only — they are never included in the website or app code you download. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
10. Cookies and Similar Technologies (Website)
Our Website uses cookies and similar technologies for authentication (keeping you logged in) and error monitoring (Sentry). You can control cookies through your browser settings; disabling them may affect Website functionality. Our analytics provider, Plausible, does not use cookies or any similar tracking technology at all — see Section 4.2.
11. Third-Party Links
The Service may contain links to third-party websites (for example, a golf course's own website) or content posted by other users (for example, a marketplace listing). We are not responsible for the privacy practices of third parties. Review their privacy policies separately.
12. International Users
The Service is intended for users located in the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States.
13. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by posting the updated policy on this page with a new "Last Updated" date, and, where required by law, provide additional notice (such as an email or in-app notification).
